1.Introduction

Humaner is a collaborative mailbox between humans and agents — inbox, companion, calendar, and tasks that work from your mail and documentation. This Privacy Policy explains how Discursive OÜ, the Estonian company that operates Humaner, collects, uses, stores, and shares personal data.

This policy covers humaner.io, the Humaner dashboard, mailbox, Companion, calendar, APIs, and related workspace features. Third-party sites or services you connect are governed by their own policies.

3.Who is responsible for your data

Discursive OÜ is the controller for data we collect through our website and platform accounts (registration, billing contacts, marketing-site analytics).

When you deploy a Humaner agent, you are the controller of end-user conversations and related support data. Discursive OÜ processes that data on your behalf as processor under our Data Processing Agreement.

For requests about a chat with a business using Humaner, contact that business. For your Humaner account or our marketing site, email privacy@humaner.io.

4.Information we collect

We collect and process:

  • Account data — name, email, organization, authentication identifiers, plan and billing details.
  • Usage data — pages and features used, device/browser, IP address, and approximate location from IP.
  • Conversation data — messages between end-users and your Humaner agents, plus session metadata.
  • Knowledge content — documents, URLs, and other sources you upload to ground your agents.
  • Desk and handoff data — escalations, resolutions, and context when an agent hands off to your team.
  • Support communications — messages you send to us.
  • Website logs — standard server logs (IP, browser, pages viewed) on humaner.io.

5.How we use information

We use personal data to operate Humaner. We do not sell personal data.

  • Provide the mailbox, Companion, calendar, tasks, retrieval from workspace Resources, memory, and analytics.
  • Authenticate users and prevent fraud or abuse.
  • Process payments and manage subscriptions.
  • Send service and security notices.
  • Improve Humaner patterns or Humaner model fine-tuning when you opt in (see below).
  • Comply with law and enforce our terms.

6.LLMs, Humaner agents, and training

Discursive is responsible for Humaner and for the infrastructure we use to deliver it. We use large language models (LLMs) and other infrastructure services as our subprocessors to run Companion and related inference. They provide inference and related services to us — not to train their foundation models on your Customer Content.

We never use your Customer Content to train third-party foundation models.

Workspace Resources you add train Companion for that workspace under the DPA. That is how the product works; it is not the optional platform opt-in.

Optional product improvement (if you opt in) only improves Humaner as a platform: anonymized patterns (for example knowledge gaps and usage patterns). A separate opt-in covers contributing those patterns to Humaner model fine-tuning. You can change either anytime under Settings → Organization → Organization information. Humaner’s core service works whether you opt in or not.

Org-scoped features that improve Companion in your own workspace under the DPA (for example Resources retrieval) are part of delivering the Service to you and are separate from the optional platform-improvement opt-in.

7.Mailbox, calendar, and Companion data

When you connect a mailbox or use Companion, we process messages, drafts, calendar events, and workspace Resources on your behalf to run the Service. You control knowledge sources, connected inboxes, and who is in the workspace.

Mail and conversation records are retained according to your workspace settings and our retention practices, then purged. You can delete earlier via the dashboard or by contacting us.

We do not sell mailbox or Companion data. As controller, you should tell people who write to your addresses that mail and related records may be stored in Humaner and, if you opt in, used to improve Humaner patterns as described above.

9.Cookies

Essential cookies keep you signed in and secure sessions. Analytics cookies on the marketing site are optional where the banner applies. Humaner widgets may set session cookies needed for chat context.

10.Infrastructure and integrations

Discursive operates Humaner and is responsible for the Service and the infrastructure we use to deliver it. We share personal data with our subprocessors only as needed to run Humaner (LLMs and related inference, vector search, database, billing, email, hosting/CDN). They may not use your personal data for their own independent purposes beyond providing their service to us, and they do not train their foundation models on your Customer Content. See the Data Processing Agreement and Terms of Service for matching processor and responsibility terms.

Separately, you may choose to connect your own external products or accounts to Humaner (for example tools you authorize in the dashboard). For those optional connections, you remain responsible for your relationship with that provider and for complying with their terms. That does not shift responsibility for Humaner’s own infrastructure onto you.

We disclose personal data further only if you authorize it, if required by law, to protect rights and safety, to our vendors acting on our instructions, or in emergencies or legal disputes involving authorized representatives.

11.International transfers

Discursive OÜ is established in Estonia (EEA). Subprocessors may process data in the EEA and elsewhere (including the United States). Where required, we use Standard Contractual Clauses or another lawful transfer mechanism.

12.Your rights

Depending on your location, you may request access, rectification, erasure, restriction, portability, objection, or withdrawal of consent. Email privacy@humaner.io. You may also complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) or your local authority.

13.Security

We use encryption in transit (and at rest where applicable), access controls, rate limits, domain allowlists, and reputable infrastructure providers. More detail is on our Security page.

14.Retention

We keep personal data only as long as needed for the purposes above.

  • Account data — while the account is active, then as needed for legal and billing obligations.
  • Mailbox messages and Companion chats — according to workspace retention, then purged.
  • Workspace Resources — until you delete them or close the account.
  • Calendar events — until you delete them or close the account.
  • Billing records — as required by tax and accounting rules.

15.Children

Humaner is not directed at children under 16. We do not knowingly collect their personal data. Contact us to request deletion if you believe a child provided data.

16.Changes

We may update this policy and will revise the "Last updated" date. Material changes will be communicated by email or in-dashboard notice where appropriate.
